What is a passcode participant?
A passcode participant is someone who uses a 12-digit token to access their survey. This option is ideal for participants who don’t have an email address or mobile number.
When you add passcode participants to a survey, a passcode download file is generated. You can export and distribute these passcodes once the survey status is set to Pending or Active.
How is the passcode used to access the survey?
Passcode participants will follow a simple set of instructions to access the survey. These are provided in the passcode file you can download and share.
To access the survey using a passcode, participants will:
- Navigate to https://app.askyourteam.com/login
- Enter their 12-digit passcode
- Select Log in.
They will now be able to take the survey.
Do passcodes expire?
Yes. A passcode will expire when:
- the participant completes the survey, or
- the survey closes
Once expired, the passcode is deleted from the system and can no longer be used.
💡Did you know? If the survey is extended, participants who haven’t yet completed it can continue using their original passcode.
Can I regenerate or reset a passcode for a participant?
Passcodes can’t be manually reset once the survey is published. Participants can only use their passcode while the survey is active.
If you need to generate a new passcode, you'll need to:
- Remove the participant from the survey
- Re-add them as a new participant
This will create a new passcode, and the old one will no longer work.
💡 Just need to reset the participant's survey responses? If a participant has already completed their survey but wants to update their answers, you can reset their responses without generating a new passcode. Just go to Participant Tracking and select Reset. This will clear their existing answers and allow them to retake the survey using the same passcode — no need to send a new one.
